How Synapse OS handles your data

Synapse OS is built so that your thinking stays yours. This page says what is stored, where, who can see it, and how to take it back or erase it. It follows Quebec's Law 25 and Canada's PIPEDA.

What we store

Your account: your email address, your display name and your password (stored only as a salted hash by our authentication provider).

What you create: notes, tasks, projects, meetings, inbox items, reminders, tags and their links, and your settings (for example your timezone).

Workspace data: which workspaces you belong to and your role in each, and invitations you send or receive (the invitation link is stored only as a hash).

Connections you set up: calendar connections and linked GitHub repositories (the app-specific password or GitHub token is kept encrypted in a secrets vault and is never shown again) and integration tokens (stored only as a hash). For a linked GitHub repository we keep your own commit messages and pull request titles for 90 days; only you can see them.

Where it lives

Your data is stored with Supabase (PostgreSQL) in a Canadian region (Montreal, ca-central-1). The web app is delivered by Vercel. Both act as our service providers.

Your browser keeps a small amount of data locally: the sign-in session, the workspace you last chose, your theme and your local-AI settings. These are strictly functional; there are no advertising or tracking cookies and no third-party analytics.

AI stays on your computer

The assistant runs in your browser and talks to Synapse Bridge (or Ollama, if you use it instead), a program on your own computer. Your prompts and the answers go there and nowhere else: they are not sent through our servers and no cloud AI is used.

If you choose to save a conversation with Nova, it is stored privately: only you can read it.

The Synapse apps for iPhone and iPad

The apps use the same account and data as the website. When you use them we process your email address, your account ID and the content you create (tasks, notes, meetings, projects, chat messages and inbox items) so the app can show it to you and to the teammates you share it with. We do not use this data for advertising, we do not sell it, and we do not track you across other apps or websites.

Your data is stored with our database provider in Montreal, Canada (ca-central-1) and is sent over encrypted connections.

Your calendar (optional). If you connect your calendars in the app, it asks iOS for permission to read them. Nothing is read until you agree, and you choose which calendars to use. For each event we copy only the title, the start and end, the time zone, the names or addresses of the people invited and a video-call link, into your personal workspace, never into a team workspace. Event notes and locations are read on your device to find a video link and are not uploaded. You can disconnect at any time, and choose whether the events already copied are kept or removed.

Your profile (optional). You can add a picture, a phone number, LinkedIn and GitHub names and your regular working hours. They are stored with your account and are visible to the people who share a workspace with you, and to nobody else. Your email address is not shown to teammates. A picture is made smaller on your device before it is uploaded to private storage, and the app does not need access to your photo library to choose it.

The AI runs on your device. If you download the built-in model, only the model files are fetched (from Hugging Face). Your questions, notes and tasks stay on your device and are never sent to our servers or to an AI service.

To keep working without a connection, the apps keep a copy of your last loaded data and any edits not yet sent. Signing out removes the saved copy.

To delete your data, open More in the app and choose Delete account. This erases your account and your personal workspace, and hands the work you did in shared teams to the team (see "Keeping and deleting" below). You can also write to us at the address on this page.

Who can see what

Your personal workspace, your inbox, your reminders, your AI suggestions and your conversations are visible only to you.

Notes, tasks, projects and meetings in a team workspace are visible to that workspace's members. Members see the name of whoever created or last changed an item. Workspace owners and admins can also manage members and integration tokens.

Your data is not sold and is not shared with advertisers. The person who runs the service can technically reach the database for maintenance and support, and only does so for that purpose.

Keeping and deleting

Deleting a note, task or other item moves it to the trash, where you can restore it. It stays there until an owner or admin permanently deletes it.

You can delete your account at any time from Account, under "Delete my account". This erases your login, your personal workspace and everything in it, your inbox items, reminders, conversations, calendar connections, linked GitHub repositories (with their tokens and activity) and tokens. In a team you leave, the notes and tasks you wrote stay with the team and are handed to a workspace owner. A team where you are the only person is deleted. If you are the only owner of a team that has other members, hand over ownership first.

Backups of the database may keep deleted data for a limited time before they expire.

Your rights

You can see your data in the app, correct it, and download a workspace as a ZIP (Markdown notes and a JSON copy) from the Workspaces page if you are its owner or admin. You can also withdraw your consent by deleting your account.

For anything else, including a request about data in a team workspace, write to samrosengarten1@gmail.com. We will answer within 30 days.

Changes

If this page changes in a way that matters, we will say so in the app. The date above shows the latest version.
